Spirit Tours creates sacred, transformational travel experiences led by spiritual teachers and thought leaders. We deliver boutique, high-touch journeys designed for spiritual growth, cultural immersion, and personal transformation.
We are growing from 10 to 20 tours annually and are seeking a strategic operational leader to build the infrastructure that supports sustainable, scalable growth. We are looking for someone who loves spirituality, travel, and the systems that make for smooth operations so our travelers can have the transformative experience we work to create with every tour.
Position Summary
The Director of Operations is responsible for building, managing, and scaling the operational, financial, contractual, and structural systems of Spirit Tours.
This role ensures:
- Tours are built correctly and profitably
- Vendor relationships are managed professionally
- Deadlines and payment schedules are met
- Financial reporting is accurate and reconciled
- Contracts and compliance are secured
- Systems are organized for duplication and growth
This is a strategic operations role — not an administrative assistant position.
Hours – 15–20 hours/week with great possibility to grow to full-time with the company
Compensation: Great Hourly Wage based upon experience, PLUS travel perks (join tours on occasion at no cost)
Key Responsibilities
1. Tour Planning & Multi-Year Calendar
- Develop and maintain a rolling 2–3-year master calendar
- Includes scheduling the Tour Creation, Vendor Contracts, Pre-Launch, Launch, Dates of Tour (pre & post add-ons), and completion schedules
- Map individual tour creation, launch dates, cut-offs, non-refundable deadlines
- Align destinations with optimal travel seasons and time zones
- Create generic SOP for a tour and duplicate as individual templates specific for individual tours
- Oversee capacity of scaling as tours are duplicated and/or registrations exceed capacity of an individual tour
- Oversee and manage calendar deadlines with CEO and contractors
2. Vendor & Logistics Management
- Develop and manage tracking system for individual tours including deadlines, contracts, special needs, entrance fees, etc.
- Duplicate tracking system across tours
- Develop and manage documentation tracking system for vendor contracts, deadlines, payments and tour related expenses
- Develop and manage tracking room blocks, transportation, meals, and excursions as registrations increase and/or change; including
- Ensure payment and reduction deadlines are met
- Deliver final traveler lists to each tour vendor
- Manage vendor relationships – including local DMC, transportation, hotels, entrance fees, and local guides as well as infrastructure contractors (i.e. FloDesk) and outsourced suppliers (i.e. swag)
- Oversee the development of cybersecurity measures for website, travelers’ information, payments, and business infrastructure.
3. Spiritual Leaders and Tour Directors
- Develop and manage systems for integrating, supporting, and tracking Spiritual Leaders’ contracts, agreements, deadlines and payments
- Develop and manage systems for integrating, supporting, and tracking Tour
- Directors’ contracts, agreements, deadlines and payments
4. Referral, Affiliate, and Loyalty Programs
- Develop and manage systems for each of these programs including
- Track deadlines for marketing deliverables
- Manage Referral Rock affiliate system
- Ensure credits and payouts are accurate and timely
- Oversee implementation and follow up for the rollout and ongoing programs
- Develop and oversee ongoing review and restructuring these programs
5. Financial Oversight & Reconciliation
- Organize and manage documentation and tracking systems for income and expenses for internal financial review, accounting and reporting.
- Including reconciling website tour payments with bank deposits
- Running tour-level revenue income and expense reports
- Monitor recurring business expenses and renewals
- Flag cost inefficiencies for review and negotiations
6. Contracts & Compliance Systems
- Develop and maintain:
- Spiritual leader contracts (including non-compete)
- Tour Directors contracts (including non-compete)
- Independent contractor agreements
- Traveler liability and medical disclosure forms
- Ensure all documents are signed on time
- Develop and maintain organized digital filing system by tour
Qualifications
- 5+ years systems & operations management experience
- Financial reconciliation proficiency
- Contract management experience
- High-level spreadsheet fluency
- Detail-driven, proactive, process thinker, and program manager
- AI literacy and evidence that you’re utilizing AI to make your life and business more efficient
- Experience in travel or boutique hospitality preferred
